There are two approved methods for recording ChowNow orders in RecTrac. Each location may follow a different process depending on regional preferences and reporting requirements. Before proceeding, please confirm with your Senior Leader responsible for your region which method should be used for your site.

The two options are:

  • Option 1: Input each ChowNow order directly into RecTrac using a dedicated ChowNow Tender
  • Option 2: Record ChowNow totals manually using the Disbursement Report and End of Day (EOD) process

Both methods ensure that ChowNow sales are accurately captured in your POS records and financial reports.


Option 1: Create and Use the “ChowNow” Tender

Step 1: Create the “ChowNow” Tender

  1. Log in to RecTrac with administrative access.
  2. Navigate to:
    Management > System Management > POS Setup > Tenders
  3. Click Add to create a new tender type.
  4. Enter the following information:
    • Tender Name: ChowNow
    • Tender Type: Other (or select Custom depending on your RecTrac version)
    • Description: Used for recording ChowNow online orders.
    • Status: Active
  5. Click Save to finalize the new tender.

Note: This tender will now appear as a payment option in your POS system.

Step 2: Input a ChowNow Order

  1. Open the POS screen.
  2. Enter the customer’s order details exactly as received from ChowNow.
  3. Once the order is complete, click Finish Sale or Take Payment.
  4. In the Payment screen, select ChowNow as the tender type.
  5. Confirm the total amount matches the ChowNow order total.
  6. Complete the transaction.

Tip: Add the ChowNow order reference number or note to the transaction for easy tracking.

Step 3: Reconcile ChowNow Orders

At the end of each day or shift:

  1. Run a Tender Summary Report or Daily Reconciliation Report.
  2. Locate the ChowNow tender line to review total orders and total amount.
  3. Compare this total to your ChowNow daily report or deposit summary to ensure accuracy.

Option 2: Manual Entry via Disbursement Report and EOD

If your location does not wish to input ChowNow orders directly into RecTrac as transactions, you can record them manually through the Disbursement Report and End of Day (EOD) process instead.

Step 1: Run the ChowNow Disbursement Report

  1. Log in to your ChowNow Dashboard.
  2. Navigate to the Reports section and select the Disbursement Report.
  3. Review the daily or weekly totals as needed.
  4. Save or export this report for your records.

Note: This report can also be set up as automated emails via the ChowNow dashboard in daily, weekly or monthly intervals.

Step 2: Record ChowNow Sales Manually

  1. Open your RecTrac EOD or Daily Sales Entry screen.
  2. Locate the appropriate field or section for Manual Entries or Disbursements.
  3. Enter the total ChowNow sales amount from the disbursement report.
  4. Label or comment the entry clearly as “ChowNow Sales.”
  5. Save and complete the entry.

Step 3: Include in End of Day (EOD)

  1. When completing your EOD process, ensure the ChowNow totals are reflected either:
    • As part of your manual sales entry, or
    • As a separate ChowNow line item in your reconciliation report.
  2. Double-check that the totals match your ChowNow disbursement report.
  3. Send or attach both reports (RecTrac EOD and ChowNow Disbursement) in any EOD reporting that is required by your site.
